What are Groups?
A great question, and to answer it… first a picture:
In short, your organisation structure comprises:
The whole company
Groups
Locations
People
Locations can represent physical locations, like a store; or they can be virtual locations like a department or a team. The important thing to know about locations is that they contain people, and that you cannot add a person without putting them inside a location.
Think of Groups as being collections of locations and/or other groups.
We’re now going to work our way through the organisation structure for Rise and Dine and we’re going to make some changes, move things around, and see who’s got access to which areas and why this works – then you’ll be able to apply this to your own organisational structure.
So, let’s start at the top!
We’re going to change Rise and Dine’s Company structure to be the same as this diagram, and in the process show you how to adapt what’s already been set up for you.
How to edit a group
Remember that the left side is for navigating through the organisation tree, and the right side is for editing things.
Pick the highest organisation level on the left (Company) and press Edit details:
It’s important to know that everything in the organisation structure, be it group or location, has a name and a unique identifier code. Enter both of these details and press Save:
Remember that I said that identifier codes are unique? The system will protect this robustly, so be careful and intelligent with your unique identifier codes:
How to create and move locations and groups
Let’s recreate this scenario: people who are in a location, inside a group that is part of the whole company:
… and to demonstrate this, let’s look at Rise & Dine’s L&D team and discover how to create a new group and move an existing location.
Start at the level where you want to create your new group, in this case it’s at the top level. Press Create, pick if it’s a new Group or a new Location (it’s a Group) and then press Next:
Here you’ll give your new group a name and description and then press create. Now navigate to the location that you want to move and press Move:
It’s as simple as searching, if you know what you’re searching for, pick where you want to move it to and then press Move:
You can now see, in this example, that:
We have 8 learners
Who live in a location called “Head Office – L&D”
Which sits in a group called “Learning & Development”
Which is part of the Whole Company
