Archiving a course

What to do when a course is no longer relevant

So, you’ve been using the Upskill People Learning Platform for a while now, and your workforce is just thriving on it! But you will find instances when a course they’ve all completed becomes obsolete and no longer needed on the platform, and another will have to be completed in its place.

At this point, you might ask “what happens to the old one?”, and because we at Upskill People have thought of everything, you can archive it! This removes a course from everyone’s learner profiles and effectively switches it off, making monitoring your workforce’s learning progress simpler for everyone.

You begin the archive process from CoursesAssign Courses

Once you’re there, open Assign Learning Profiles To Course and select View:

There, you can find all the learning profiles who have been assigned the course. Remove the course you want to archive from all the learning profiles by unticking the boxes next to them:

Oh, and remember Save. That way, the things you change stay changed!

After that, go back to Courses… Overview, so that you can find the course you want to archive.

Remember, if there are lots of courses to sift through, don’t be afraid to use the search bar to find it. It could save you heaps of time! Once you’ve found the course, select Edit next to it:

And all we have to do now is switch off the course! To do this, we need to find the Available checkbox and untick it:

…then Save and job done! The course will now no longer come up as an option for future learners or appear in standard ‘group’ reporting tools. Archiving courses is a great tool for ensuring your learning platform doesn’t get cluttered up with lots and lots of courses that simply don’t need to be there! Your platform can remain free from both clutter and confusion.

You’re likely wondering “why don’t we just delete the courses that are no longer in use or needed?” Well, this is because when a course is initially created it’s linked to a number of different applications on the platform. This reason alone would make it quite the challenge to go through and unlink everything to delete a course.

However, the more important reason for archiving a course, rather than completely deleting it, is that courses are linked to people and their learning records, which is updated whenever a learner interacts with a course. These are records we need keep for several years in order to provide evidence that people have indeed completed these courses.

Remember that you can still see archived courses that people have done by using View Individual learner performance
