Understanding the Report access editor

Giving you access to the data that you’ll need to see and take action!

There’s little point in having all this data about our learners and courses if your managers can’t see or access it! You need to give them reporting access, so they can do just that.

To do this, you need to go to Learners from your dashboard to assign them reporting access.

And there are a couple of ways to do this…

If you’ve got other things to update whilst you’re there (like assigning to a different location) then Search for the person in question and select Edit:

You need to decide at what level you want them to have access (in relation to the four levels of organisation structure). For this example, let’s assign at org level 1, which is a store.

Here we’re going to give this person access to the Head Office – All departments:… so, they will only be able to see the learner data for all learners within that store.

For senior people, it’s likely that you’ll set their reporting access at the opposite end of the organisational levels (org level 4):

So, in this case they will see all the people in all of the locations, in all of the areas, in all of the regions that belong to the overall company, Rise & Dine Deli Outlets.

For a large corporate client, this could be thousands of people so choose your reporting access wisely!

Before you go, if anyone who should have reporting access is receiving error messages, then this is likely due to them not having the relevant reporting access. And of course, they can’t fix it themselves because the lack of access is preventing them from seeing themselves to assign the needed reporting access, a catch-22!

In this situation, you or a colleague should log in as a Client Administrator to assign the appropriate reporting access for that person.
