Welcome to your learning platform let’s get going

And we’ll start at the very beginning, it’s a very good place to start (and we know a song about that!)

Welcome to Upskill People’s learning platform! It’s a pleasure to have you on board.

Before you even start to worry about how to use your new platform, please don’t! You don’t need to get started on your own. We will be guiding you through each step along the way, for you to get the very best out of the platform.

The good news is that there are only three things you need to know:

  1. Where to put your people
  2. What content to give them based on the job that they do, the place where they work or something else that is special about them as individuals
  3. Who are they and how can I get them into the learning platform quickly!

Think of it as a sprint to the finish line with just three competitors (and either one can cross the line first; we’re after the podium finish). Like any race, it’s the preparation that counts!

So, here’s a step-by-step guide to help you get onboard quickly, with links to more detailed guides when you need them.

1. Setting up your company structure

Once you log in, you’ll be greeted by the menus, which have the tools within them. The first thing to do is select Organisation … Manage Organisation:

This will take you to a page with four tabs on it. A "Brand or Corporate" editor, a "Region" editor, an "Area" editor, and a "Location" editor. Note that these are simply labels for the different levels of your company structure and can be changed to suit your company.Graphical user interface, application

Type in your company name in the Company editor section (Brand/Corporate editor tab), then a name for your managers and your trainees in the Region editor. Taking those names, use the Area editor to input the cities in which your company operates. Then use the Location editor to input the specific locations in which it operates.

We understand that not all organisations are spread across multiple locations. You can also use the Location editor to split yours by its different workforces or by different years. One thing to bear in mind is that all learners on the platform must belong to an Org1 location (the Location editor level), otherwise they may not be assigned their courses and won’t appear in any reporting data. 

You can arrange your company structure how you see fit for your own organisation’s needs.

2. Creating learning profiles

From your dashboard select Courses … and choose Assign Courses

… and you’ll go straight to Group courses into learning profiles:

… where you can press Add Learning Profile:

Now you need to think about all the different types of employee roles in your organisation. For example, if you run a restaurant, you’ll probably need to train your bartenders in different ways to your waiters. And this is why we create new Learning Profiles for each job type. It’s a way of grouping all the courses a specific job type needs to complete into one profile, like a playlist you’d find on a music streaming platform. This way each learner sees exactly the courses they need to complete and aren’t overwhelmed with a huge list of courses where many don’t even apply to them!

Save the profiles you create, then expand Assign Courses to Learning Profile. Select ‘View’ next to the profile and this will show you the learning courses that your lucky learners will soon be enjoying! Here, you can ‘Select’ the courses to assign to that learning profile.

Once the right profiles are assigned to the right courses, from your dashboard menu, pick Learners … Add Learners:

3. Adding your learners

Now we need to get our learners on-board! Select ‘Add Learner and input the learner’s details there.

Once you’ve finished inputting the details, and selected ‘Submit’, your new learner should magically appear on the learner details list like this:

While you’re inputting each learner’s details, make sure you apply their correct Learning Profile. This will give them access to the relevant courses when they login and begin their learning.

When your platform is up and running, you can keep an eye on how your learners are getting on with their courses from the Reporting menu, then Overall performance to see learner results across the entire business. And for a broader look at which of your workforce has completed which courses, Team performance. Finally, you can also keep track of how satisfied your learners are with your courses by choosing Survey feedback.

Let’s recap with a checklist of what your initial steps are in setting up the learning platform:

  • Getting the company structure right—This will be one of the first things you do when you first enter the platform. Setting up your organisation correctly is key to ensuring that everyone on the platform is assigned to the area of the business they belong to. This will make assigning learning profiles and later reporting a lot easier!
  • Creating learning profiles – All your employees won’t have the same job, so won’t need the same learning or upskilling. So, you want to be able to assign specific courses to employees with certain job types. And this is where your learning profiles come in. You just need to create a profile for a job type and then assign the relevant courses to it, and you’ll be ready to go.
  • Adding your learners – What's a learning platform without the people who will be doing the learning!
