At Upskill People, we understand that different folks with different job roles need specific tools to deliver world-class performance.
You may want your managers to have access to reporting data to monitor their team's progress and give a friendly nudge when someone needs to complete a course. You may want them to exclude team members who are off sick or on maternity leave, ensuring your completion stats stay accurate.
That's why we offer a tool that lets you create custom dashboards for different departments or job roles. When users log in, they'll see just what they need to work and operate effectively - the right tools for the job!
First, go to Organisation … Manage Organisation:
Then pick Roles & Permissions… New:
Add a Description, in this example we’ve entered in the initials for Head Office. This can always be edited or changed later.
The Report Access Level box is related to the reporting tools on your learning platform, and can be a 1, 2, 3, or 4, which represent the four different levels of your company structure (read Managing your company structure). So, a 1 would mean giving a person access to reporting at the Org1 level (where your people go).
This feature is especially useful if you’re creating a number of varying dashboards, and means reporting access at different organisation levels can be quickly assigned using the automated user import.
Let’s say we want to give a store manager reporting access at Org1 level, which could be their own store. We would put ‘1’ in this box for the dashboard we’re creating for store managers, tick the Report Access box, and then when the automated user import runs, it will tell the system to assign Org1 reporting access to all the people assigned with this new dashboard we’ve created. Now, when the store managers log in, they will find they can access their store’s reporting data, but only their own store, as we’ve only given them Org1 access.
When used with an automated user import, the Report Access Level feature not only gives people their specialised dashboard when they log in, but also all the reporting access they need at the same time!
Next, you’ll see a Tools dropdown menu. If you expand this, you’ll see all the different tools you can give people access to. Once you give a person access to any of these, they will then appear on the dashboard when they log in. And it isn’t just limited to one permission, oh no. You can add on as many as you think are needed!
If you wanted to give a manager access to specific reporting tools (or all of them!), you would choose ‘OAR - Analyse overall performance’ if you wanted them to see how all learners were doing, ‘SSV - Your team’s performance at a glance’ if you wanted them to see how just their own team were doing, or ‘OUA - View individual learner performance’ if you wanted them to be able to look at how a specific learner was doing.
And remember, if you’re assigning reporting tools to people then you need to make sure that the Report Access box is also ticked, so that they can access the reporting data available to them. If they’re not given reporting access, then they’ll be able to see the reporting tools on their dashboard when they log in, but won’t be able to actually see any of the data!
In this example, we’re giving people working in the Head Office access to their courses on the dashboard, so we select LRM - Your courses. And then Add so it appears on the list:
Once you’ve added the relevant permissions to your user type, select Save:
You now have a new dashboard that will take people to the applications they need once they log in, in this case for our Head Office workers, it will take them straight to their courses.
But we still need to assign our Head Office workers this dashboard, so that the system knows what dashboard to show them when they log in, based on the permissions we’ve given them.
Still in Manage Organisation, pick Job Types.
In the Search box, type in the job type (learner role) you want your new dashboard, Head Office in this example, to be assigned to. We want the people who are management accountant assistants to be given the Head Office dashboard, as that’s where they work in the business.
Once you’ve found your job type in question, select Edit, and you’ll see a page like this:
Expand the Dashboard dropdown menu and look for the dashboard you’ve just created. In this case, select HO, as that’s the one we created for the Head Office.
Once you’ve done this, just select Submit at the bottom of the screen. And because we’re all about saving you time, if you choose Update All and Submit, you’ll be able to apply this change to all other learners who also have the same job type!
For more information on job types, please have a look at this guide: Managing job types
And there we have it! You now have the knowledge and tools to give people the exact dashboards they need for both a great learning environment and a more seamless working process. Everyone has the tools and access they need on their dashboards and can spend more time and energy on all that learning!
