Here’s a quick reminder of our Report Builder to-do list so we can get the right data at the right time and make the best decisions for our teams:
Create a simple content report
So, without further ado, let’s build that simple content report because I want to know who has not completed their mandatory courses across all the locations in the business – and so do you, so here goes…
We’ve called it a simple mandatory course completion report, and we used Manage Columns to pick these fields from the following built-in sections:
Location
o Location Parents
o Location Name
User
o Username
o First Name
o Last Name
o Job Description
o Profile Description
o User Attributes
Course
o Course Mandatory
o Course Name
o Course Status
Then we filtered on Course Mandatory is True and Course Status is not “Completed”:
Okay, there’s a fair bit going on in those brief statements, so a quick recap of these guides will help you understand why we chose those particular filters:
Here’s the result:
Export this report and, whilst potentially difficult conversations aren’t everyone’s cup of tea, you will have some great data which you can use to help those people shine (and improve your completion results which is good for you too!):
Want to create reports that show how much time was spent learning? Here are some top tips…
Adding Time Spent
The quickest way is to simply add the Time Spent column to your report:
This will display the time spent on screen in hh:mm:ss format. When you download a copy of this report in CSV format, the time spent will be shown in seconds:
Here’s a simple trick to update your report to show the time spent in hh:mm:ss format…
First create a new column called “Time Spent” and type ”=H2/86400” (H” is the cell to it left that contains the time spent in seconds). Apply this to all the cells in this new column:
Highlight all of your new data cells and pick Format Cells…:
It’s really important that you use the Custom option and then choose [h]:mm:ss:
This will convert your data into the correct format.
Finally, add a summation cell:
… and with a little additional formatting, you’ve now got a useful report showing how much time has been spent:
Your managers will love this as it shows where your team's time is being spent upskilling and helping your business be better.
Introducing Date Ranges
Add a Course Started filter, pick Between Dates and remember to add both To and From dates (just pick today’s date to get all up-to-date data):
Here’s the result:
