Logging in with a One Time Password

We’ve all been there, you finally managed to get 15 minutes to yourself for some focussed personal development time and then… you can’t log in because you’ve forgotten your password! What’s more, you’re not allowed personal devices during working hours and you don’t have a work email address! The stuff of nightmares! But fear not, as always, Upskill People have a solution!

You’re going to need some help from one of your platform admins, so we’re going to explain what happens for both them and you, so you’ll know what to ask for and what to expect.

This ensures your platform remains fully compliant with strict UK GDPR and ISO 27001 standards by preventing line managers from inadvertently gaining unauthorised access to a colleague's personal data.

What the platform 'Admin’ must do first

From the Learners menu, search for the learner and pick Generate One-Time Password from the More dropdown:

You’ll see some advice on what happens next and that you’ll need to communicate a temporary password to the learner. Press Generate Password:

The new temporary password will be generated and displayed on screen. You’ll need to copy this so that you can paste it into a suitable communication to the learner:

There are a few different ways to communicate this password directly to the learner, it all depends on what communication tools you have available to you and what data protection policies you have in place. There’s a handy Copy to Clipboard feature which will enable you to paste the exact password from your device to the learner.

The bottom line is that you now have a temporary password that you can communicate to the learner. Note that this is the only time you’ll see the password and be able to copy it.

What the learner does next

You’ve just been given a temporary password, the first thing you should do is sign in:

You’ll be prompted that you cannot do anything else until you’ve updated your password, so press Close:

… and enter your temporary password as your Old Password:

Simply enter a new password, confirm it, press Save Changes and you’re good to go!
